The Situation
Healthcare buyers arrive with specific questions and little time. Booth staff cannot answer everyone at once, especially when AI is the headline and curiosity creates clusters around the stand.
Goal & Expectations
Offer a walk-up conversational experience that feels helpful under real floor pressure. Capture what visitors asked so product and marketing could refine messaging after HIMSS.
Challenges
The hard parts were rarely just creative. They were floor reality, feasibility and the people who had to run it live.
Walk-up clarity
People hesitated at “AI” kiosks fearing awkward failures. The first screen had to explain how to start in one sentence and recover gracefully from confusion.
Voice and text in a loud hall
Open convention acoustics made voice tricky. The flow needed text-first options and visual feedback that worked when visitors could not hear prompts.
Trust on a healthcare floor
Answers had to stay on-brand and appropriately cautious. Wrong tone or overpromising would spread faster than any feature demo.
Where I Came In
I joined to shape the conversation journey — prompts, fallbacks, and kiosk ergonomics — and to define topic tagging so stakeholders could read the floor’s questions, not just session slides.
Approach
Scripted opening paths for common HIMSS intents, with gentle redirects when questions wandered. Prototyped on kiosk hardware with gloved and hurried taps in mind.
What We Built
Visitors approached, asked by voice or text, and received concise guided answers. The kiosk stayed busy during peak hours when reps were tied up, and conversation themes rolled into post-show dashboards.
Other Teams Involved
AI product owners, legal and medical review for response boundaries, and booth trainers for staff positioning near the kiosk.
On the Floor
Partnered with AV on mic placement and echo. Ran morning checks on network and local fallback behavior before hall opening.
End Result
HIMSS maintained a self-serve AI touchpoint through peak traffic, with topic and outcome reporting for internal review.
Final Thought
An AI kiosk is a hospitality problem before it is a model problem. I think about the visitor who only had ninety seconds — if they left with one clear answer and no embarrassment, we did our job.
